Giglobe Privacy Policy

1. Introduction

Who We Are:
This Privacy Policy explains how Giglobe (jointly operated by Giglobe S.r.l. in Italy and Giglobe Pty Ltd in Australia) collects, uses, and protects your personal information. We are committed to safeguarding your data in accordance with the EU General Data Protection Regulation (GDPR) and the Australian Privacy Act 1988 (including the Australian Privacy Principles).

In this Policy, “personal data” (or “personal information”) means any information that can identify you directly or indirectly – for example, your name, email, phone number, or even an IP address or unique identifier. This Policy applies when you use our website or services, create an account, or otherwise interact with Giglobe’s websites or applications.

Scope:Giglobe’s platform is designed to match job seekers with employers and provide related services (including visa and travel assistance). This Policy covers personal data we process in providing these services. It does not cover third-party websites or services that we do not control – for example, if we link to an employer’s site or a payment provider’s terms. We are not responsible for the privacy practices of those third parties. We encourage you to review any external privacy policies when you leave our site.

Age Restrictions:Our services are intended for adults seeking employment opportunities. We do not knowingly collect personal data from children or minors under the age of 16. If you are under 16 (or under the age of majority in your location, if higher), please do not use Giglobe or provide personal information. If we learn that we have collected data from a minor without proper consent, we will delete it.

By using Giglobe, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please do not use our services. If you have any questions, you can contact us at privacy@giglobe.com.

2. Personal Data We Collect
We collect several types of personal data from you for the purposes described in this Policy:

Identity and Contact Data
Information that identifies you, such as your full name, email address, telephone number, postal address, date of birth, and other contact details. We ask for these when you register an account or communicate with us, so we can identify you and get in touch as needed.

Identification and Visa Information
Details needed to verify your identity or eligibility to work, such as your passport number, national ID, residency status, visa or work permit information, and related documents. We collect these only when necessary (for example, to confirm you meet job requirements). This data is used to verify your identity and comply with legal or employer requirements (e.g., confirming work rights).

Profile and Employment Information
Information you provide about your skills, experience, and job preferences. This includes your resume/CV, employment history, education, qualifications, languages spoken, professional licenses, desired role or location, and any other details you choose to share to enhance your job profile. We also collect information about your preferences and goals (e.g., industries of interest, availability dates) to match you with suitable employers.

Usage Data
Data generated through your use of our website. This includes technical information like your IP address, device type, browser type, operating system, referring URLs, and timestamps, as well as your activities on our site (pages viewed, links clicked, time spent, and other interaction metrics). We use cookies and similar tracking technologies (click here for details) to collect this usage data. This helps us understand usage of our site, so we can improve performance and user experience.

Marketing and Communications Data
Your marketing preferences and communications with us. For example, if you subscribe to our newsletter or opt-in to receive promotional emails, we record that consent. We may also collect information from surveys, contests, or feedback you provide about our services or partners. Additionally, we keep records of our correspondence with you, such as support requests or inquiries, and how you engage with our emails (e.g. whether you open or click them).

Payment and Transaction Data
If you make payments through Giglobe (for example, to purchase premium services or pay fees), we collect information to process the transaction. This may include billing details and payment information (credit card number or other payment info).Note: We use trusted third-party payment processors, such as Stripe and Scalapay, to handle your payment transactions. These providers will receive your payment information to process payments. Giglobe itself does not store your full credit card number or security codes on our servers. We only retain payment transaction records (e.g. the amount, date, and status of the payment) for accounting and fraud prevention.

Sensitive Personal Data
We do not seek to collect any sensitive personal data about you, unless necessary. “Sensitive” data includes things like racial or ethnic origin, political opinions, religious beliefs, health information, biometric data, or criminal background. We do not require such information for our services. Please refrain from providing it unless it is essential for a specific service (e.g., disclosing health information if a job role requires certain medical clearance). If we ever need to process sensitive data, we will do so only with your explicit consent and in accordance with applicable law. For instance, if a specific visa process requires health or background details, we will inform you and obtain necessary consent.

Data from Third Parties
In some cases, we may receive personal data about you from third-party sources. For example, if you apply for a job via a partnered recruitment agency that works with Giglobe, they might send us your application details. Also, if an employer using Giglobe’s platform pre-fills some of your information (e.g., invites you to apply), we will collect that data. Another example is if you login via a social network (if we enable “Sign in with Google/LinkedIn” or similar), we would receive your basic profile from that service with your permission. We will treat any third-party sourced data according to this Policy combined with any additional terms that were presented to you by the source.

We collect personal data either directly from you (when you fill out forms, create a profile, or communicate with us) or automatically (through your device via cookies or logs). In some cases, we might collect data from partners who help deliver our services (for instance, a visa consultant may give us status updates on your application). We ensure any data we collect is reasonably necessary for our functions and is handled as described here.

3. How We Use Your Personal Data (Purposes and Legal Bases)
We use your personal data for the following purposes in connection with operating and improving the Giglobe platform and services:

Providing Our Services
We use identity, contact, and profile information to create your account, enable you to use our platform, and match you with suitable employment opportunities. For example, we process your job preferences and qualifications to recommend or notify you of potential job matches. When you apply to a job or agree to be referred, we use your data to facilitate the application and communicate with the prospective employer on your behalf. This also includes using your data to schedule interviews, send updates about your application status, and other recruitment or placement processes you have requested. We process these details to fulfill our contract with you – i.e., to provide the job-finding services you signed up for.

Verifying Identity and Eligibility
We may use your identification documents or visa information to verify your identity, citizenship, or work authorization status. This helps us ensure you meet any legal working requirements for jobs (for example, confirming you have a valid visa for a job in Australia) and to prevent fraud. In some cases, we are legally required to verify identity (such as anti-fraud or “Know Your Customer” obligations). We will also use this data to assist with visa applications or sponsorship processes if those services are part of what you have requested from Giglobe.

Communicating with You
We use your contact information (email, phone number) to communicate important notices regarding your use of the service. This includes sending confirmation emails, responding to your inquiries, sending newsletters or updates if you subscribed, and notifying you about job opportunities or platform changes. We may contact you via email, phone calls, SMS, or in-app notifications, as appropriate and permitted by law. For example, if you have an upcoming interview, we might send a reminder email; or if you reach out to customer support, we will use your info to reply.

Facilitating Partner Services
With your consent or at your request, we share and use data as needed to enable services provided by our trusted partners. For example, if you opt to use our travel service, we will share necessary details with our airline partners to help coordinate your flight booking. Similarly, if you request visa assistance, we will share relevant information with our migration services partners so they can assist you in obtaining the correct visa. We use your data in these cases purely to fulfill the service you have chosen – e.g., to ensure your travel is booked under your name and matches your visa status.

Processing Payments
If you make a payment on our site (for instance, paying a service fee or purchasing an add-on), we use your financial and contact information to process that transaction. This includes sharing the required details with payment processors like Stripe or Scalapay to charge your card and complete the payment. We also use the data to keep records of your purchases, provide receipts, and handle billing inquiries or refunds. Processing payments is necessary to perform our contract with you when you choose to use paid features.

Marketing and Newsletters
We may use your email and marketing information to send you promotional communications about Giglobe’s services, new features, or special offers, only if you have consented (or as otherwise permitted by law). For example, if you join our mailing list, we will send you periodic emails about job market tips or partner promotions that might interest you. You can opt-out of marketing communications at any time (see “Your Rights” below). We will not spam you – we send marketing messages in accordance with your preferences and applicable spam laws. If you opt-out, we will stop sending marketing materials.

Personalizing Your Experience
We may analyze your usage data and profile to personalize the services for you. This could include recommending jobs that align with your browsing history or tailoring content on our website to be more relevant to your interests. Any such profiling is meant to enhance your experience, not to make any impactful decision without human involvement. We do not conduct any automated-decision making that produces legal or significant effects on you without human review (see Section 9 on your rights regarding automated decisions).

Analytics and Service Improvement
We use collected usage data and cookies to understand how our platform is performing and how users interact with it. This information is used to troubleshoot technical issues, analyze trends, and improve the design and content of our site. For example, we might determine a certain page is confusing to users (based on drop-off rates) and then refine its content. We also analyze aggregated user data to develop new features and services. All analytics are done in pursuit of making Giglobe more useful and user-friendly. Where possible, we use aggregated or anonymized data, which does not identify individuals.

Security and Fraud Prevention
We process personal data as needed to protect our platform, you, and other users. This includes using data to detect and prevent fraudulent activities or abuses of our services. For example, we may monitor account activities for signs of fraud or security incidents (such as multiple attempts or suspicious account creation patterns) and use personal identifiers to block malicious users. We also may use your data to enforce our Terms and Conditions, to investigate any violations, and to keep our platform safe and secure. This processing is based on our legitimate interest in maintaining the integrity of our services and protecting users.

Legal Compliance Duty
In certain cases, we will need to use your personal information to comply with our legal obligations. For instance, to meet record-keeping requirements, satisfy lawful requests by public authorities, or respond to court orders or regulatory investigations. If Australian or EU law requires us to retain certain data (for example, for tax or employment law purposes), we will use and store data to fulfill those mandates. We may also use and preserve data to establish or defend legal claims in case of a dispute.

We will not use your personal data for purposes that are incompatible with the above, unless we obtain your consent or are required/permitted by law to do so. If we need to process your data for a new purpose, we will update this Privacy Policy and inform you when required.

Legal Bases for Processing (GDPR)
For personal data subject to the GDPR (generally, data of individuals in the European Economic Area), we ensure that each use of your data has a lawful basis under Article 6 of GDPR:
1. Contractual Necessity (Art. 6(1)(b) GDPR)Most of our processing is to provide the services you request – for instance, processing your job profile to match you with employers, or handling your application and communications.
2. Consent (Art. 6(1)(a) GDPR) We rely on your consent for certain processing that is voluntary, such as sending marketing emails, using tracking for advertising, or sharing your data with partners at your direction. You have the right to withdraw consent at any time.
3. Legal Obligation (Art. 6(1)(c) GDPR)In some instances, we must process your data to comply with a legal obligation, such as verifying your identity for anti-fraud measures or keeping records for tax.
4. Legitimate Interests (Art. 6(1)(f) GDPR)We process certain data for Giglobe’s legitimate interests, such as improving and securing our platform, preventing fraud, protecting our legal rights, and sharing data within our group to streamline operations. We ensure this is not overridden by your data protection rights. You have the right to object to processing based on legitimate interests (see Section 9).

If you have questions about the legal basis of specific processing or need more detail, feel free to contact us at privacy@giglobe.com.

4. Cookies and Tracking Technologies
Like most websites, Giglobe uses cookies and similar tracking technologies (such as web beacons and pixels) to collect usage data and improve our services. Cookies are small text files placed on your device that help websites function and gather information. You can learn more about how we use cookies and our third-party tools by clicking here.

5. How We Share Your Personal Data
Giglobe understands that your personal information is important, and we are not in the business of selling your data to others. However, we do need to share your data with certain third parties to run our business and deliver services to you. We only share the minimum necessary information for each purpose, and we have agreements in place to protect your data where possible. Below are the categories of third parties we may share data with, and why:

Giglobe Affiliates (Internal Sharing)

As Giglobe is served by two corporate entities (our Italian and Australian companies), we share personal data between these entities as needed. For example, if you are an EU-based user seeking a job in Australia, Giglobe Europe S.r.l. may transfer your details to Giglobe Pty Ltd so our Australian team can liaise with local employers and assist you. Similarly, information collected in Australia may be shared with our European office for centralized administration, customer support, or compliance. Both entities are committed to protecting your data per this Policy, and such transfers are safeguarded as described in Section 6 (International Transfers).

Employers and Recruiters
A core aspect of our service is to connect you with potential employers. When you choose to apply for a job or allow us to match you with opportunities, we will share your relevant personal data with the specific employer, recruiter, or partner organization offering that job. This typically includes the information in your profile and CV, and may include identification or visa details if required by that employer. Once your data is shared with an employer, they will handle your information as a separate data controller under their own privacy policy.

Service Providers (Processors)
We employ trusted third-party companies to perform certain functions on our behalf:
Webflow / Vercel for website hosting,
Supabase for cloud database storage,
Analytics (Google Analytics),
Ads (Google Ads, Facebook/Meta),
Payment processors (Stripe, Scalapay),and others.

These providers process data only for the specific services they offer to us and per our instructions. We have Data Processing Agreements where needed, and we continually monitor compliance. They do not have permission to use your data for their own marketing.

Business Partners for Ancillary Services
Giglobe partners with specialized companies to offer you additional services (e.g., Emirates for travel, AustraliaMigrate for visa assistance). If you choose these services, we share only the data necessary for them to fulfill your request. These partners act under their own privacy policies once they receive your data.

Legal Disclosures

We may disclose personal information to third parties (courts, regulators, law enforcement) when required by law or to address urgent or lawful requests (e.g., subpoenas, preventing imminent harm). We may also share data if it is necessary to enforce our rights, resolve disputes, or address a legal claim.

Business Transactions

In the event of a merger, acquisition, or sale of Giglobe assets, your personal data may be transferred to the successor entity. We will ensure continuity of service and require the new entity to honor this Policy, or provide notice if a new policy applies.

With Your Consent

If we need to share your data for any other purpose, we will describe it and request your consent.
We strive to keep your personal data confidential and only accessible to those who truly need it. If you have questions about third parties that may have your data, contact us at privacy@giglobe.com and we can provide further information.

6. International Data Transfers
Because Giglobe operates in both Europe and Australia – and uses global service providers – your personal data may be transferred and stored across international borders. If you are located in the European Union or United Kingdom, this means your data may be transferred to Australia or other countries which may have different data protection laws than your home country. Likewise, Australian users’ data may be sent to Europe or elsewhere.

Transfers from the EEA:
When we transfer personal data from the EEA to a country not deemed “adequate” by the European Commission (e.g., Australia or the U.S.), we rely on lawful transfer mechanisms (such as Standard Contractual Clauses) and, if necessary, implement additional measures (like encryption).

Transfers from Australia:

Locations of Data Processing:
EU (e.g., Italian servers)
Australia (our Australian office)
United States (e.g., some hosting, analytics, payment providers)
Other Countries (if relevant for service partners, like Emirates in the UAE)

No matter where your data is processed, we apply the same level of care and keep up with legal developments to remain compliant.

By using Giglobe’s services, you understand your personal data may be transferred internationally as needed. We do so lawfully and securely, respecting your privacy. If you have concerns, please reach out at privacy@giglobe.com.

7. Data Security
We take the security of your personal data very seriously. Giglobe implements a variety of technical and organizational measures to protect your information from loss, misuse, unauthorized access or disclosure, alteration, and destruction:
Encryption:We use encryption protocols to protect data in transit (HTTPS) and at rest wherever possible.
Access Controls:Only authorized personnel and service providers with a need-to-know can access your data. We use strong authentication (e.g., multi-factor) for admin access.
Secure Infrastructure:We choose reputable hosting/cloud services (Vercel, Supabase) with up-to-date patches and intrusion monitoring. Firewalls and backups help guard data.
Auditing and Monitoring:We track system access and investigate suspicious activity. We may use anti-malware tools and periodic penetration tests to identify vulnerabilities.

No method of transmission or storage is 100% secure
, so we cannot guarantee absolute security. However, we strive to exceed industry standards. In the unlikely event of a data breach affecting your personal data, we will follow applicable breach notification laws, notifying you and relevant authorities if required, and we will mitigate any harm.

Your Security Measures:

• Please do not share your login credentials with others.
• If you suspect any unauthorized access or security issue (e.g., phishing attempts), contact us immediately at privacy@giglobe.com.
• We will never ask for your password via email.

By using Giglobe, you acknowledge the inherent risks of internet data transmission, but also that we continually improve our security measures to minimize these risks.

8. Data Retention

Legal and Compliance Needs: Certain records (e.g., payment transactions) may be kept for accounting/tax requirements, visa documentation for immigration compliance, etc.
Dispute Resolution:If there is a dispute or potential litigation, we may keep relevant data until resolved. We also keep data to enforce our Terms if needed.
Backups: Residual copies could remain in backups for a short time, but we protect them securely and delete or overwrite them on schedule.

Once we no longer need personal data, we securely dispose of or anonymize it. If you unsubscribe from marketing emails, for example, we remove you from our mailing list but keep a record of your opt-out request.

Account Deletion: You can request deletion of your account at any time (see “Your Rights” below). We will delete or anonymize your data and notify our processors to do the same where feasible, except for information we must legally retain.

Right to Access:Request a copy of personal information we hold about you, subject to exemptions (e.g., someone else’s privacy, frivolous requests).
